Volunteer check‑in by QR code.

At the entrance you scan your volunteers’ QR codes. For every shift you see who is there and who is missing.

The attendance overview shows every shift of a day. You record who is there, who did not come and who left early.

Checked in
With the time and who checked them in. Only people on site count towards the shift’s total.
Left early
For anyone who leaves before the shift ends. The check-in time is kept.
No-show
One by one, or for everyone still open once the shift has started.
Open
Nothing recorded yet. “Undo” sets any entry back to open.

Every volunteer has a personal QR code. If someone does not have it with them, you find them by name.

On their phone

The volunteer area shows “My QR code” as soon as attendance tracking is on for the event.

On paper

Print the QR codes of all confirmed volunteers with their names, for example for badges.

The name search shows today’s shifts for every match. That way you never mix people up.

One code for every event

The QR code works across your whole organisation and stays the same. If it gets lost, you regenerate it in the volunteer profile. The old one then stops working.

One click on “Export attendance” gives you a CSV file. One row per assignment, with status and time.

  • Several devices, one overview

    If you check people in at several entrances, the others’ check-ins appear in the overview without reloading.

  • Check first, then check in

    A scan records nothing yet. You see the person’s shifts and tap “Check in” yourself.

  • No shift today?

    Then check-in shows the person’s next shift. If they are not registered for the event, it says so.

  • One scan for the whole day

    If someone has several shifts on the same day, one tap checks them in for all of them.

  • Attendance in the volunteer profile

    Each volunteer’s profile shows for every shift whether they were there.

Do my volunteers need an app?
No. The QR code is in the volunteer area, which volunteers open in their browser with their personal link. They do not need an account.
What device do I need at the entrance?
A phone or tablet with a camera and a browser. You sign in to Helferplanung and open “Check-in”, a screen made for one hand. Without camera access, you search by name. For several entrances, invite more members to your organisation. Each signs in with their own login and can check people in.
What happens if the signal at the entrance is weak?
Check-in needs an internet connection. If saving fails, the person stays on screen and you tap “Try again”.
Can volunteers check themselves in?
No. Check-in is always done by someone from your organisation, by scan or name search. That way it is clear who was really on site.
